Setting Up QuickBooks Integration with CRM Software
This guide walks you through the process of integrating QuickBooks seamlessly into your CRM software, eliminating the need for manual data entry every time a new contact is created in QuickBooks.
Key Benefits of QuickBooks Integration:
Automatic Contact Sync:
- Syncs all newly created contacts in QuickBooks with your CRM.
- Triggers a review request automatically upon QuickBooks payment (for the first invoice only).
Sales Receipt Automation:
- Registers sales receipts in QuickBooks whenever a payment is made in your CRM for order forms, subscription payments, membership checkouts, and calendar payments.
- Creates invoices in QuickBooks as soon as they are marked as sent in your CRM, updating any subsequent changes and marking them as paid in QuickBooks when processed in your CRM.
Auto Creation of Sales Receipts:
- Applicable for payments processed via order forms, calendars, or subsequent subscription payments.
- Updates existing sales receipts in QuickBooks if the customer's email matches an existing record; otherwise, creates a new customer in QuickBooks.
One-Way Invoice Sync:
- Replicates sent invoices in QuickBooks, including the total amount with taxes and discounts, for seamless accounting synchronization.
- Updates any changes made to invoices in your CRM, reflecting in QuickBooks.
- It does not sync existing invoices in your CRM; only new invoices created post-integration will be synced.
Important Notes:
- After integration, only new leads will be added as contacts in your location's CRM. Allow up to 5 minutes for new contacts to appear.
- To add older QuickBooks contacts to the CRM, export them first and then import them via CSV.
How to Integrate QuickBooks
Navigate to your settings > integrations > Click the "QB Connect" button.
Sign In
Log in to QuickBooks and ensure all necessary permissions are accepted.
Connect button
Click the "connect" button to establish the integration.
Disconnect Quickbooks
When you have your Quickbooks account integrated, it will show the option to disconnect the account.
